The Family Center is a central place where you can view and manage all of your family information and reports, and perform family related tasks.
The Family List is a list of all of the families in your database. By default, the list also includes the family account balance. In large lists, Childcare Manager adds a precision scroll bar to help you locate a name quickly. You can also use mouse wheel scrolling if you have a mouse with this capability. You can filter the Family List so that it displays only those families that meet a specific criteria. The Family List can be filtered by family status, group, source, date of first contact, and account balance. You can find a family by entering the name in the Search by Name box . This feature uses incremental (progressive) search. When you type in a 'W' the program takes you to the first name in the list beginning with a 'W'. When you add an 'e' after the 'W', the program takes you to the first name in the list beginning with 'We'. For more advanced searches you can click the Advanced Search icon.
The Family Tasks list provides a list of family related tasks that can be performed while you are in the Family Center. Family Notes is used to track notes specific to a family. You can also enter alerts that are automatically displayed on the alert date in Center Summaries.
Family Contacts is used to track and maintain a list of regular and emergency family contacts. You can also identify those contacts with or without pickup rights.
Contract Charges is used to enter fixed (recurring) charges that you bill your families on a regular basis.
Batch Bill is used to bill several customers at a time. Most centers use batch billing because it makes it easy for you to quickly bill a large number of customers at a time. You can also choose from a variety of billing methods: bill contract charges, bill by family balance, bill by family group, bill by classroom and bill by program. Billing by Contract Charges is the normal method of billing because of the recurring nature of most childcare bills.
Receive Payments is used to record the payments you receive from your customers in Childcare Manager. When you receive a payment, your accounts receivable records are updated, and the payment is displayed in Make Deposits ready to be deposited into your checking account.
Use the Family Receivables journal to view a record of your customer's financial transactions and to add, edit, void and delete individual transactions. By default, when the Family Center is open the Family Receivables journal is displayed under the Family QuickView.
The Family Reports list provides a list of reports in that category. When you click a report category, a list of reports in that category replaces the Family List. To run a report, click the report and click Run on the Report Preview bar. If you double-click the report, the Customize Report view will appear. Click Run Report to run the report or change the filter and or sort options
The Family QuickView provides pertinent information about the family. More detailed information is located in the family data card. Data cards are accessed by double clicking on the name in the list or the name in the QuickView, or by clicking the edit button on the QuickView tool bar.
The Family Data card provides detailed information about the family displayed in the Family QuickView. The information is organized into 3 tabs:
- The Primary Sponsor tab is used to track name, address and other contact information for the primary sponsor.
- The Secondary Sponsor tab is used to track name, address and other contact information for the secondary sponsor.
- The Custom field tab is used to track employee information that Childcare Manager doesn't have a field for.
